Various booking systems

Below are detailed a number of options for handling the booking system

Current System - Excel spreadsheet + Google Calendar

This system records all bookings on an Excel spreadsheet. Some otherwise private details may be held there.

Hirers either ring up the Booking sectrtary, or sends her a free format email requesting the hire. This is entered on the spreadsheet and this, along with the email, is the record of the booking.

The invoice secretary is advised of the booking, and she then forwards an invoice. This is paid by BACS.

​

A Google Calendar is bought in line with the Excel spreadsheet on a monthly basis. This Google Calendar can be seen on the VH website.

On Line Booking form

This system is virtually identical to that above, except that the hirer is offered a form to fill in. The filled in form is forwarded by email to the booking secretary, who now gets a specifically formatted email..

Note that the free WIX plan only allows 10 fields on the  form. A more comprehensive form requires a greater spend per month.

Apart from that, the method is the same as above. An Excel spreadsheet is used, an invoice is sent, and a Google Calendar is belatedly updated.

Skedda (Potentially Free) Booking System

Skedda is a booking system that has a free option, however it is very basic.

​

It allows users to book directly on the calendar, so the on-line calendar should always up to date.

​

The booking secretary will receive an email advising the booking. She will be able to cancel the booing if it is inappropriate. The advantage of this system is that the Excel spreadsheet is no longer required, and all bookings are shown automatically on the calendar.

There is a free option, but, I suspect, to meet GDPR requirements and to provide some level of security over our data, we will have to pay $390 (£300) per year, and to provide online payments, a further $190 (£145) per year.

Hall Booking Online

Found in a recent search for booking systems. Provides both booking and invoicing.

​

However it appears that the invoicing package makes no attempt to calculate the charge for booking the rooms required. This has to be calculated and inserted by the booking/invoice secretary.

Cost £120/year, 60 day free trial.

May be worth a look!

Hallmaster

Has been recommended by ACRE. I looked at this some year's ago, even took up a free trial. At the time, I wasn't terribly happy with it, but it would be orth another look now. They are currently offering a 90 day free trial.

It offers a complete booking and invoicing system for £187/year

​

There is a link at the side to the Lockerley Village Hall, which is using Hallmaster.

Midas

This booking system seems to provide everything that is needed, including booking and invoicing. I assume that it is US based.

There is a Demo page that allows some experimentation with the booking process.

​

It looks as though, for a 10 venue max (we have 5), 5 user max (booking sec, invoice sec, treasurer etc) and with an online calendar, this costs £307/year. 

WIX options

WIX offers some options, but they do not appear suitable.

Their room booking app is intended for hotel bookings, where rooms are booked one day at a time.

Their event booking app deals with fixed time events, not variable timed room bookings

Both require extra money to be paid to WIX
